Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Recap Raven (the “Service”), a service operated by Agile Outpost (“Agile Outpost”, “we”, “us”, “our”), which turns tabletop RPG session recordings or transcripts into player-safe recaps and GM-only review notes. By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.
Recap Raven is in beta and provided on an “as is” basis. Features, pricing and these Terms may change. This document is a beta agreement and not legal advice.
1. Who may use the Service
You must be at least 18 years old (or the age of majority where you live) and able to enter a binding contract. You are responsible for your account and for all activity under it.
2. The Service
You record a session with our Discord bot, or you provide a recording link or a pasted transcript. We process and transcribe the audio, normalise names using a per-campaign spelling dictionary you build, and use automated systems (including third-party large language models) to generate a player-safe recap and GM review notes. Outputs are automatically generated drafts.
Session limits and abuse detection. To keep the Service sustainable, each recording is subject to limits: a maximum session length, a maximum number of speakers, and an abuse-detection filter on the amount of actual spoken audio (the voiced portion of all tracks combined, after silence is removed). A recording that exceeds a limit or triggers the abuse-detection filter may be rejected and not transcribed; where a recording is rejected after submission, any credits or session allowance reserved for it are released. These limits are generous enough for normal play, including lively sessions where people talk over one another, and are intended only to stop deliberately excessive or abusive use.
3. Your content and the licence you grant us
“Your Content” means the recordings, transcripts, campaign notes, names, lexicon and other material you submit. You retain ownership of Your Content. You grant Recap Raven a worldwide, non-exclusive, royalty-free licence to host, store, copy, transmit, transcribe, process and create derivative works from Your Content solely to operate and provide the Service to you. We do not sell Your Content and we never use it to train AI models. See our Privacy Policy for how we handle data.
4. Your responsibilities and representations
By submitting Your Content, you represent and warrant that:
- Participant consent: you have obtained explicit permission from every person recorded in the session to upload, process and create recaps from that recording, as required by applicable law (including recording-consent and data-protection laws).
- Adults only — no minors: the Service is for adult TTRPG games, and every person recorded is an adult aged 18 or over. You will not upload, submit or process any recording or content that contains the voice or personal data of anyone under 18. Confirming the age and consent of all participants is entirely your responsibility as the account holder.
- Rights to all material: you own, are licensed for, or otherwise have all necessary rights and permissions to submit and have us process Your Content, including any campaign notes, names, artwork, maps and lexicon.
- Third-party / published material: you will not upload or paste material you are not licensed to use — including, without limitation, text or other content from published adventures, rulebooks or other works (for example, Dungeons & Dragons books and other materials published by Wizards of the Coast) — unless you have the necessary permission or licence to do so.
- No infringement or unlawful content: Your Content does not infringe any intellectual-property, privacy, publicity or other rights, and is not unlawful.
5. AI-generated drafts — accuracy and player-safe redaction
The Service uses automated transcription and AI generation. We attempt to keep GM-only secrets, spoilers and out-of-character content out of player-facing recaps and to spell names correctly using your lexicon. However, no automated system is perfect. We do not guarantee that outputs are accurate or complete, that secrets, spoilers or third-party material have been removed, or that names and events are correct.
You are solely responsible for reviewing, editing and correcting every output before you share it, publish it, or treat it as campaign canon. Do not rely on outputs without checking them. We are not responsible for content you share after it leaves the Service.
Optional public Discord forum publication
If you explicitly enable public forum publication for a campaign, Recap Raven may post the player-facing recap, its unlisted share link and any recap image into a forum in your linked Discord server. The forum post is visible to everyone who can access that forum. Session participants may be added as thread members, which can show their association with the session, and does not make the thread private. The post content does not include an attendee list or participant IDs. Transcripts and GM-only reports are not included in that public post.
Publication is automatic after a new recording finishes. You are responsible for choosing an appropriate Discord server and forum audience before enabling it, reviewing posts after publication, and understanding that content sent to Discord is also governed by Discord’s terms and retention controls. Disabling the setting stops future publication but does not itself remove existing posts. We attempt to update or remove an existing post when its recap is edited, its share is revoked, or its source data is deleted, but that operation may be delayed or unavailable if Discord cannot be reached.
6. Indemnification
You agree to defend, indemnify and hold harmless Agile Outpost (which operates Recap Raven) and its operators, officers and contributors from and against any and all claims, demands, liabilities, damages, losses, costs and expenses (including reasonable legal fees) arising out of or related to: (a) Your Content; (b) your breach of these Terms or of the representations in section 4; (c) your failure to obtain participant consent or the rights to any material you submit; or (d) your use of, or sharing of any output from, the Service.
7. Acceptable use and content policy
You must not misuse the Service, including by uploading unlawful or infringing material, attempting to break security or rate limits, or using it to process recordings of people who have not consented. We may suspend or terminate accounts that breach these Terms.
Uploading any audio or content that involves a person under 18 is strictly prohibited. Any such upload will result in immediate suspension and a permanent ban, and we will cooperate with law enforcement and any relevant authorities in connection with child-safety matters. Recap Raven is an adults-only service and does not knowingly handle any content involving minors; full responsibility for ensuring every participant is a consenting adult rests with you, and you indemnify Agile Outpost against any claim arising from a breach of this section under section 6.
Mature fictional content is welcome. Tabletop RPGs are works of fiction, and sessions routinely depict dark, violent or otherwise mature fictional themes — for example combat, death, injury, horror, crime, cruelty, prejudice between fictional peoples, and morally complex situations. This kind of in-game, fictional content is a normal part of play and is welcome on the Service; we will not refuse your recordings simply for being dark or intense.
What is never permitted. Some things concern the real world, not the fiction, and are prohibited regardless of any in-game or “just a game” framing. These include, without limitation:
- any real person under 18 being present in, or recorded on, the session (see sections 4 and above);
- sexual content involving a minor, whether real or depicted — this is illegal and will be reported to the relevant authorities;
- genuine real-world harm — actual instructions, plans or intent for real-world violence or serious illegal activity (as opposed to in-game actions);
- real, targeted hate, harassment or threats against real, identifiable people; and
- content that is not a genuine tabletop RPG session.
These examples do not limit the general prohibitions elsewhere in these Terms.
Screening and refusal — our discretion. We will not refuse a legitimate tabletop session simply for being dark or intense. That said, we reserve the right, at our sole discretion, to screen, refuse, withhold, remove or decline to process any recording or output — at any time, with or without notice, and for any reason or no reason, including, without limitation, where we believe it breaches this section or any of these Terms. If we refuse or withhold a recording, we will not produce or share a recap or transcript for it. Because the recording will already have been received, transcribed and screened, the session is still counted and is not refunded. Submitting prohibited content may also lead to suspension or termination under section 11. Automated screening is not guaranteed to be accurate (see sections 5 and 9).
8. Intellectual property
The Service, its software, branding and design are owned by Agile Outpost. Subject to these Terms, outputs generated from Your Content are yours to use; the underlying Service and any improvements remain ours.
9. Disclaimers and limitation of liability
To the fullest extent permitted by law, the Service is provided “as is” and “as available” without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement. We do not warrant that the Service will be uninterrupted, timely, secure, error-free, or available at any particular time, and we may change, suspend or discontinue any part of it at any time without notice. To the fullest extent permitted by law, Recap Raven will not be liable for any indirect, incidental, special or consequential damages, or for any loss of data, content, goodwill or campaign material, arising from your use of the Service. Nothing in these Terms limits liability that cannot be limited by law. References to “Recap Raven” below include Agile Outpost as operator.
10. Data, retention and availability
How we collect, use and retain data — including that recordings are kept only as long as needed to transcribe them and then deleted — is described in our Privacy Policy, which forms part of these Terms.
We do not guarantee the retention or availability of Your Content or outputs. Content may be deleted, corrupted or fail to process, and recordings are deleted after transcription. You are responsible for downloading and securely keeping your own copies of anything important; once deleted, content may be unrecoverable.
11. Suspension and termination
The Service is a beta and may change, be interrupted, or be discontinued at any time. We may update these Terms; material changes will update the version and date above, and continued use after a change means you accept it. You may stop using the Service and delete your account at any time.
We may suspend or terminate your access to the Service at any time and for any reason — including breach of these Terms or misuse of the Service — and termination may occur without prior notice. On termination your right to use the Service ends, and any data or outputs associated with your account may be deleted and become unrecoverable.
Assignment. We may assign, transfer or novate these Terms and our rights and obligations under them, in whole or in part, to an affiliate or successor entity — including, without limitation, to a newly incorporated company operating Agile Outpost and/or Recap Raven (such as Agile Outpost Ltd) — without notice or your further consent. You may not assign your rights under these Terms without our prior written consent.
12. Attributions
We rely on and credit the following, and we comply with their attribution requirements:
- Craig. If you choose to record with Craig (craig.chat), a separate, independent multi-track Discord recording tool, you do so under Craig’s own terms, and we simply accept a download link you provide. Recap Raven’s own recording bot is built independently of Craig, and Recap Raven is not affiliated with or endorsed by Craig.
- System Reference Document 5.1. This Service includes material from the System Reference Document 5.1 (“SRD 5.1”) by Wizards of the Coast LLC, available at dnd.wizards.com/resources/systems-reference-document, used to improve name and term accuracy. The SRD 5.1 is licensed under the Creative Commons Attribution 4.0 International License, available at creativecommons.org/licenses/by/4.0/legalcode. Recap Raven is not affiliated with, endorsed or sponsored by Wizards of the Coast.
“Dungeons & Dragons” and “D&D” are trademarks of Wizards of the Coast. Use of those names refers to the games for compatibility and identification only.
13. Transcription Correction & Normalisation
To improve transcription accuracy, you can record an adventure or module title on a campaign and build a per-campaign spelling dictionary. Adventure and module titles are used only to organise your campaigns and to improve transcript spelling consistency — they are plain titles for identification, not content.
The spelling dictionary is built from your own entries and notes (the homebrew material you hold the rights to) together with generic terms from the System Reference Document. No official book text, stat blocks, boxed text or adventure content is stored or reproduced by the Service. This feature is unofficial and is not affiliated with or endorsed by Wizards of the Coast LLC.
14. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where mandatory local law provides otherwise.
