Responsible use
Your campaign, your choices
A campaign recording contains your friends’ voices as well as the story you are playing. You need to know who can read it, how to keep GM notes private and how to take your records with you if you leave.
We take privacy seriously. This page explains our approach in plain language; our Privacy Policy sets out the full details and takes precedence if anything here differs.
Private until you choose to share
For Discord sessions, automatic recap sharing delivers recaps to your configured Discord server, without publishing your campaign in Showcase. You can turn automatic Discord posting off in your campaign settings. Who can read a posted recap depends on your Discord channel permissions.
Public Showcase sharing is off by default. You decide whether to publish your campaign and which player-facing recaps become public. Private GM material and raw transcripts stay separate from Showcase. You can also share an individual recap through an unlisted link; anyone who receives that link can pass it on.
Opening Showcase settings prepares a campaign illustration before you choose whether to publish. Opening those settings does not publish the campaign.
Turning off public sharing removes the campaign from our discovery listings. It cannot recall screenshots, downloads or copies someone has already made. Review the material and talk to your players before publishing. Our campaign sharing guide explains the available choices.
Take a copy of your data
In your account’s Your data section, you can request a portable export. It includes your profile, consent records, campaigns, recaps, saved transcripts and activity.
The download requires your signed-in account and is available for a limited time. It is not a public share link. These controls support access and portability, so leaving Recap Raven does not have to mean leaving your campaign history behind.
Delete your account when you choose
You can start account deletion from your account settings, without a support ticket. We ask you to confirm your identity with your password or a fresh Discord sign-in before the irreversible step. Download anything you want to keep first.
Deletion removes your account and associated campaign records from the live service and revokes your sessions. An unsettled billing operation can temporarily prevent deletion while it completes. You can also delete individual sessions or campaigns without closing your account.
Copies may remain in encrypted, protected backups until they expire. If we restore a backup, we aim to reapply completed deletion requests as soon as reasonably possible. Limited security or legal records may need to be kept, and messages already delivered to Discord or copied by other people have separate lifetimes. The Privacy Policy sets out those boundaries.
Your campaign is not training material
You retain ownership of the content you submit. Recap Raven does not sell your data or use your content to train AI. Privacy comes first when we choose AI providers: we require that they do not train on your campaign content either.
Audio is deleted as soon as reasonably possible after transcription. Saved transcripts and campaign records have a different purpose and remain available until you delete them, subject to the retention rules in our policy.
Access controls need to be tested
Signing in is only the first check. The service must also check whether you are allowed to reach the particular campaign, session or export you requested. Our automated tests include attempts to read, change or delete another user’s records, alongside checks for GM and player permissions.
We use protected connections, secure session cookies and safeguards against forged requests. Our engineering approach explains how security tests sit alongside browser tests and code review.
A question about your information?
The Privacy Policy includes our privacy contact, retention details and ways to exercise your data rights. It also provides a website-analytics opt-out. Contact us on Discord if you need help accessing or correcting information, withdrawing consent or raising a concern about processing.
Recording starts with your table’s permission. Discuss consent with everyone involved. Our responsible AI approach covers recording transparency and human review; our Terms of Service explain ownership and responsibilities.
